GAABESU EC Election 2025-2027

      NOTICE FOR CONDUCTING ELECTION FOR THE EXECUTIVE COMMITTEE FOR THE TERM 2025-2027
05 June 2025


1. Constitution of Election Committee:
As per relevant clause of the Regulations of the Association, the Executive Committee of GAABESU (Association), in its 127th meeting held on 10 May 2025, constituted a three-member Election Committee comprising following members for conducting election for the Executive Committee for the term 2025-2027.
i. Shri Syama Prasad Datta (Civil 1967), Chairman;
ii. Prof. Gautam Bandyopadhyay (Electrical 1976), Member;
iii. Prof. Prasid Syam (Electrical 1984), Member.


2. Notice for Election:
The Election Committee invites nomination from eligible willing members of the Association, duly proposed by an eligible member, in attached prescribed formats, as per schedule given below, to be candidate for a position in the Executive Committee of the Association for the term 2025-2027. Tenure of the Executive Committee shall be two years.


3. Executive Committee:
As per relevant clause of the Regulations of the Association, the Executive Committee shall consist of seventeen (17) members and out of which six (6) members, to be elected by the elected Executive Committee from among elected members of the Executive Committee, will be Office Bearers namely, President, Working President, Vice President, Secretary, Joint Secretary and Treasurer. The Clause further mentions that for the purpose of good and effective governance, the posts of Working President, Secretary and Treasurer will be held by members who are located within easily commutable distance (greater Kolkata area) from the registered office of the Association.


4. Eligibility for election in the Executive Committee:
As per relevant clause of the Regulations of the Association, the Alumni Life Members of the Association shall be eligible to be elected as a member of the Executive Committee. At least seven (7) members of the Executive Committee shall be from places located within easily commutable distance (within greater Kolkata area) from the registered office of the Association. Office Bearers of the Association cannot hold office for more than a total of five (5) terms. Alumni Life Members whose subscription up to 31 March 2025 has not fallen into arrear can only be candidates for election and vote for electing the new Executive Committee.


5. Election Schedule:

  • Publication of notice for conducting election: 05 June 2025,
  • Last date and time of submission of nomination: 23 June 2025 05:00 PM IST,
  • Display of valid nominations in GAABESU Notice Board/ Website: 24 June 2025.
  • Last date and time of withdrawal of nomination: 02 July 2025 05:00 PM IST.
  • Physical submission, if preferred, of Nomination Form or its withdrawal shall be done between 11:00 AM and 05:00 PM IST on the working days of GAABESU office.
  • Display of names of valid candidates in GAABESU Notice Board/ Website: 04 July 2025.
  • In case number of valid candidates exceeds the stipulated strength of the Executive Committee, detailed procedure and time frame for voting, so as to complete the entire procedure for voting before Annual General Meeting, will be circulated by email and through GAABESU website.
  • Declaration of result of the election: In the Annual General Meeting as will be notified.


6. Submission of Nomination:

  •  Nomination may be submitted by valid Alumni Members only who are Alumni Life Members of GAABESU as on 31 March 2025. Election Committee would go by the Eligible Members Roll (Electoral Roll) to be provided by the Secretary of the Association.
  • Eligibility criteria, as mentioned in para 4 above, may please be seen for submitting nomination.
  • Each nomination shall have to be proposed by a valid eligible member of the Association. No member shall propose more than two candidates for the Executive Committee.
  • Proposal and Nomination shall be submitted in prescribed formats only with relevant details and must be signed by the Proposer and the Candidate.
  • Nomination/ Proposal forms are attached and shall also be available from the Association office.
  • Duly filled-up and signed nomination form and signed proposal form shall be submitted to the Association Office between 11:00 AM and 05:00 PM on working days as per schedule given for submission of nomination. Nomination and Proposal can also be submitted through e-mail addressed to gaa.election2025@gmail.com within the time period given in the schedule. For on-line submission pdf of scan copy of the signed Nomination and signed Proposal shall be attached with the e-mail. Nomination and Proposal can also be submitted by Speed Post/ Courier so as to reach Association office positively by the last date and time of submission mentioned in para 5 of the notice. Nomination and Proposal can be sent separately by the candidate and proposer or by either of the candidate or proposer.


7. Important points to be noted:


  • Nomination shall be invalid:

(i) if not submitted in prescribed format;
(ii) if all the relevant details are not filled in;
(iii) if not signed by the Proposer and the Candidate in the prescribed formats;
(iv) if a member proposes more than two candidates;
(v) if not received within the prescribed time;
(vi) if there is any error or lack of clarity in the Nomination;
(vii) if not submitted by valid Alumni Life Member and not proposed by a valid Alumni Life Member of the Association.


  • In case number of total valid nominations exceeds seventeen (17) but number of valid nominations from places within easily commutable distance from Association office do not exceed seven (7), the candidates from places within easily commutable distances would stand elected and there shall be voting for remaining ten (10) positions only.
